1. Overview
This Privacy Policy explains how Resova AI (“Resova iQ,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you visit resovaiq.com, use our Services, submit a form, or otherwise interact with us.
Resova iQ provides business-to-business software for licensed healthcare practices. Our website is not intended for patients, and you must not submit patient information or protected health information through a marketing or contact form.
We handle healthcare-related information in accordance with applicable law. When we process protected health information (“PHI”) on behalf of a healthcare provider or other covered entity, the applicable Business Associate Agreement (“BAA”) governs that processing. If this Policy conflicts with a BAA concerning PHI, the BAA controls.
2. Information We Collect
We may collect:
- Account and business-contact information: name, work email, telephone number, role, practice name, provider count, states of operation, electronic health record (“EHR”) system, billing model, monthly claim volume, implementation timeline, and information contained in your message.
- Customer Data: information submitted by a customer or its authorized users to operate the Services, which may include PHI processed under a BAA.
- Usage and device information: IP address, browser and device type, operating system, pages viewed, referring URLs, access times, and actions taken.
- Cookies and similar technologies: information collected through strictly necessary cookies and, if enabled, optional analytics technologies.
- Communications: support requests, correspondence, feedback, and other information you send us.
Please do not submit patient information, PHI, Social Security numbers, or other sensitive information through the website’s contact or demo form.
3. How We Use Information
We use information to:
- Provide, maintain, secure, troubleshoot, and improve the Services;
- Respond to inquiries and provide demonstrations or support;
- Create and administer accounts and authenticate users;
- Prevent fraud, abuse, and unauthorized access;
- Communicate regarding accounts, security, service changes, and — where permitted — product information;
- Comply with legal, regulatory, and contractual obligations; and
- Protect the rights, safety, and security of our customers, users, and company.
We do not sell personal information. We do not use PHI for advertising. If we use automation or machine-learning technologies to improve the Services, we apply appropriate safeguards and honor applicable BAA restrictions.
4. How We Share Information
We may disclose information to:
- Service providers: vendors that host infrastructure, process forms, provide communications, support operations, process payments, or provide security and analytics services;
- Named website providers: Formspree processes contact-form submissions; Vercel hosts the website; Google Fonts and unpkg may receive visitors’ IP addresses as a consequence of serving website assets;
- Integrations: EHRs, clearinghouses, and other systems you authorize us to connect;
- Legal and safety recipients: courts, regulators, law-enforcement authorities, professional advisers, or other parties when required by law or reasonably necessary to protect rights, safety, security, or property; and
- Business-transfer recipients: parties involved in a merger, acquisition, financing, reorganization, or sale of assets.
Service providers are authorized to process information only as reasonably necessary to provide services to us, subject to applicable contractual restrictions.
5. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain business and security records, comply with legal obligations, resolve disputes, and enforce agreements. When information is no longer required, we delete, de-identify, or securely dispose of it.
PHI is retained and disposed of in accordance with the applicable BAA and applicable law.
6. Security
We maintain administrative, technical, and physical safeguards designed to protect information, including encryption in transit and at rest, access controls, authentication measures, and monitoring. No method of transmission or storage is completely secure.

7. Your Rights and Choices
Depending on applicable law, you may have rights to access, correct, delete, obtain a copy of, or restrict certain uses of your personal information, or to opt out of certain processing. To submit a request, email inquire@resovaiq.com.
We may need to verify your identity and may deny or limit a request where permitted by law. You may appeal a denial by replying to our response.
If we process PHI on behalf of a healthcare provider, direct PHI-related requests to that provider, which generally acts as the HIPAA covered entity.
You may opt out of marketing communications by using the unsubscribe mechanism in the message or contacting us. Transactional, security, and service communications may continue.
8. Cookies
We use strictly necessary cookies and similar technologies to operate the website, maintain security, and support requested functionality. We may use optional analytics technologies only if enabled.
You may control cookies through your browser settings. Disabling certain technologies may affect website functionality.
9. International Users
Resova AI operates in the United States, and the Services are directed to users in the United States. If you access the Services from another country, your information may be processed and stored in the United States, where privacy laws may differ from those in your jurisdiction.
10. Children’s Privacy
The Services are intended for healthcare practices, their personnel, and authorized business users. They are not directed to children under 13, and we do not knowingly collect personal information directly from children through the Services.
11. Changes to This Policy
We may update this Policy periodically. For material changes, we will provide notice through the Services, by email, or by another legally permitted method. The “Last updated” date will identify the effective date of the current version.
